Appointments

Record an Appointment

What this screen is for

The mirror image of the booking screen: there a customer asks a business for an hour, here a business writes down an hour for somebody the app has never seen. An entry from the customer book stands in for the account, and the appointment is valid without waiting for approval.

When you would use this

When an hour is promised to somebody who phoned or walked in and has never installed the app, the owner records it here — so the calendar shows that hour as taken and it is not sold to anybody else.

Who sees it

Only the user matching the owner field on the business document; the server refuses everybody else.

Where it lives

The mobile app only; the panel has no screen for writing an appointment down by hand yet.

What you can do here

Choose a customer from the book

The chip at the top opens the customer book as a sheet, and the chosen entry's name is written onto the chip; their number, if there is one, appears just below.

Choose services and a time

Total duration is recalculated as services are ticked and the list of times is regenerated to fit it; the date strip runs two weeks ahead and closed days cannot be picked.

Leave a note

An optional note can be attached; it is stored on the appointment itself, not on the book entry.

Record it

The save button only becomes active once a customer, at least one service and a time are chosen; the screen closes after a successful write.

What the server accepts and refuses

Customer restrictions do not apply to somebody with no account

Checks such as a suspended account, an unverified e-mail, an active penalty and the limit on booking again too soon do not run here: none of them mean anything for a person with no account. Whether the hour is genuinely free is checked in exactly the same way as on the customer side.

An unpublished business can still record a walk-in

Neither being live nor being open to bookings is required here. Those settings decide whether a business takes requests from the public; writing down the customer who came through the door is a separate matter, and it works for a business still being set up.

What is written down is approved from the start

This appointment does not begin as pending, because there is nobody to approve it; left pending, the sweep that clears unanswered requests would cancel it after a while.

No appointment can be written for somebody outside the book

If the chosen entry is not in this same business's book the server refuses; otherwise the appointment would hang off a record that can never be opened.
